Vehicle Mileage Log
- Each employee shall record their daily itinerary on the Vehicle Mileage Log. The Employee/Assigned Driver/Fleet Coordinator shall be held strictly accountable for mileage driven.
- The employee shall be responsible for printing a copy of the Vehicle Mileage Log from a Word Perfect File Template. If you do not have access to the template, you should contact the DGS Fleet Manager for your initial copy of the Vehicle Mileage Log which should be kept in the employees file to be copied (as needed) each month.
- The Vehicle Mileage Log shall be completed monthly by the Employee/Assigned Driver/Fleet Coordinator. Vehicle Mileage Logs for the previous month are due to the DGS Fleet Manager by the 5th of each month. The information is directly reported to the Department of Budget and Management via WebFleetMaster. Therefore, it is imperative that employees forward the Vehicle Mileage Log to the DGS Fleet Manager so that this information can be reported in a timely manner.
- The Vehicle Mileage Log shall contain the name of the employee using the vehicle, will indicate the date, starting points, destinations, and ending points, daily commute mileage and total commute mileage for the month (if applicable) and the ending odometer for the month. While infrequent commuting may not qualify a driver for paying a commute charge, whether you pay a commute charge or are commute exempt all commute mileage is to be recorded on the Vehicle Mileage Log.
- The Vehicle Mileage Log shall be signed by the employee or fleet coordinator.
- The Employee/Assigned Driver/Fleet Coordinator shall maintain a copy of the completed Vehicle Mileage Log for a period of at least twelve months.
