Pool Vehicles

  1. The DGS Fleet Manager shall manage the reservation of vehicles from the DGS Motor Pool. Vehicle reservations shall be made on a first-come, first serve basis. In special circumstances, the Fleet Manager may re-prioritize reservations based on distance and other factors.

  2. Vehicle assignees whose cars are available are required to cooperate with the DGS Fleet Manager by allowing other eligible drivers to use assignees’ vehicles when not in use.

  3. Pool vehicles are generally available for use between the hours of 8:00am. - 5:00pm. Other arrangements can be made as needed with the DGS Fleet Manager.

  4. If a driver cannot return a pool vehicle by the specified time, please contact the DGS Fleet Manager immediately.

  5. Overnight use of a vehicle requires a minimum of 24 hours notice.

  6. Emergencies which require overnight use with less than 24 hours notice shall be approved by the DGS Fleet Manager.

  7. Assignees will cooperate with overnight scheduling of their vehicles provided 24 hours notice is given. Overnight use of assigned vehicles will be rotated equitably.

  8. Assignees on leave for one week or longer, shall make arrangements to leave their State vehicle at the office.

  9. Car-pool users are to record destination, mileage information and sign the vehicle mileage log located in the vehicle.

  10. Car-pool Inspection Reports are to be completed and returned with keys to the DGS Fleet Manager by 5:00pm unless other arrangements have been made. Always identify the parked location of the vehicle on the report.

  11. Please top off vehicle if fuel is below 3/4 of a tank.
