Private Mileage Reimbursement

DGS employees may be required to use their personal vehicles in order to carry out their assigned duties if a State vehicle is not available or if the employee does not satisfy the assignment criteria. The State is not required to provide a State vehicle to employees who refuse to use their own vehicles to perform their assigned duties.

Authorized persons who use a privately owned motor vehicle for official State business shall be reimbursed in accordance with the DBM approved rate. Should an employee prefer to use a privately owned vehicle for conducting official business when a State vehicle is available, the employee shall only be reimbursed at one-half the standard rate allowed for the use of privately owned vehicles.

When a State vehicle is not available and a private vehicle must be used, employees may be eligible for full private mileage reimbursement.

All employees who seek full or partial reimbursement for use of their privately owned vehicles must submit a Private Mileage Reimbursement Form. This form must be approved with all required signatures and attached to all relevant Expense Account Forms prior to submitting the request for reimbursement.

Reimbursement is based on the principle that the employee should be reimbursed for all official business. Private vehicle mileage accumulated in a private vehicle, is mileage which is beyond that mileage incurred from the employees home to the permanently assigned office/work station.
